People, Culture and Safety Administrator
The People, Culture and Safety Coordinator will play a key role in day‐to‐day administrative support across Work Health & Safety (WHS) and Human Resources (HR). The role helps maintain compliant records, supports onboarding and training, coordinates safety meetings and actions, and ensures timely, accurate people data and documentation. The position is pivotal in promoting a safe, inclusive, and compliant workplace while delivering efficient HR administration.
This role is offered as a fixed‐term contract to support key project work; this role also presents a strong opportunity to transition into a permanent position.
Duties and Responsibilities
Work Health & Safety (WHS) Administration
* Maintain WHS registers (incidents, hazards, risk assessments, corrective actions, chemicals/SDS, plant and equipment).
* Coordinate incident reporting and investigation workflows; track corrective actions to closure and file evidence.
* Schedule and minute WHS meetings (HSC/HSCe), toolbox talks, emergency drills; distribute actions and follow‐ups.
* Support inductions (site, contractor, visitor) and maintain induction and competency records.
* Coordinate periodic WHS activities (e.g., inspections, risk assessments, testing & tagging, first-aid/evac checks, emergency exercises).
* Keep WHS documentation current (policies, procedures, SWMS/JSA, risk registers) and version‐controlled.
* Assist with contractor management: prequalification, insurances, licenses, permits, and site access compliance.
* Support Return to Work (RTW) administration: medical certificates, suitable duties plans, case notes, and insurer correspondence (under manager guidance).
* Prepare WHS dashboards and monthly reports (KPIs, trends, lead/lag indicators) for management.
* Help coordinate external audits/inspections and evidence collation for compliance or certification (e.g., ISO 45001).
People and Culture Administration
* Prepare and issue HR documents (letters of offer, contracts, variations, policies, confidentiality/IP, exit packs).
* Coordinate recruitment logistics (advert posting, interview scheduling, reference checks) and onboarding tasks (IT access, uniforms, welcome packs).
* Track mandatory training and licenses; schedule renewals and maintain the training matrix.
* Support payroll inputs (timesheets, allowances, leave forms) ensuring cut‐off accuracy; reconcile basic discrepancies.
* Monitor probation review cycles and performance documentation; schedule check‐ins and maintain records.
* Assist with policy communication, engagement activities, and staff surveys.
* Coordinate offboarding (resignations/terminations): checklists, system deactivations, final paperwork, exit interviews.
* Maintain confidentiality and handle employee queries professionally, escalating as appropriate.
