Summary :
End to end management of lessors, tenants and properties within the Property Management Department, in-line with legislation, compliance, agency processes and Belle Property / Hockingstuart / Acton | Belle Property values. Continuous focus on a positive client experience through communication, creating trust and adhering to excellence in professional standards.
Support the Business Owner in their role and responsibilities.
Tasks / Responsibilities :
* Market properties to the Belle Property / Hockingstuart / Acton | Belle Property standards.
* Book and conduct open homes and / or private viewings, as needed.
* Manage prospective tenants and provide advice to the lessor based on market conditions and tenant feedback.
* Process tenancy applications and present to the lessor, as required.
* Manage ingoing tenant process including bond lodgement and tenancy sign up.
* Conduct entry reports and all activities required legislatively with rigorous attention to detail.
* Conduct routine inspections as per the management authority and legislation requirements.
* Monitor and action rent arrears daily, including updating the lessor, issuing of any notices as per legislation and tribunal lodgement and attendance, as required.
* Manage tenancy agreement renewals, including rent reviews, within legislated timelines.
* Record and act on all maintenance and repairs in accordance with legislation, the management authority and lessor instruction.
* Issuing of any notices for breach of the tenancy agreement and any other notices, as required.
* Conduct vacate inspections as per legislative requirements ensuring the standard of the property is maintained.
* Manage vacating tenant process including feedback to the lessor, exiting tenant and finalisation of the bond.
* Manage and negotiate tenant and / or lessor concerns / disputes with empathy and a view to finding a solution.
* Prepare, lodge and attend tribunal as a representative of the agency and the lessor.
* Manage insurance claims on behalf of the lessor, including lodgement with all necessary paperwork, follow through to completion providing regular updates to the lessor.
* Provide advice to the lessor on maintaining the quality of their investment property and recommendations to improve the return on investment.
* Recognise and follow through on opportunities to bring new business into the office portfolio.
Administrative :
* Preparation of all tenancy related forms, including tenancy agreements, bond forms, tenant sign up packs, entry, exit and routine reports.
* Review and update templates and processes in line with the department strategy.
* Ensure accurate filing of all documents and correspondence within agency property management software or in hard copy, if required.
* Record all appointments in Microsoft Outlook.
* Record all activities, including correspondence, in property management software.
* Receipt tenant payments, as required.
* Attend to incoming phone calls and return calls as needed.
* Process lessor bills and tenant invoices as required and in-line with the management authority.
* Process disbursements for the department as required.
General :
* Set the team standard in high quality ethics in delivery of services.
* Keep up to date with relevant legislation / s, compliance, and be prepared to share that knowledge with the team.
* Utilise emails for confirming conversations and / or providing information to lessors, tenants and suppliers etc where possible.
* Carry out duties as instructed by the lessor within the provisions of legislation and the management authority.
* Lead by example in actively supporting and developing a positive team culture and morale.
* Support other team members in achieving their goals and work requirements, including support around Tribunal attendance, insurance claims and other escalated activities.
* Set the standard in adhering to minimum business standards and KPI’s as supplied.
* Provide KPI and any other reports as required including supporting other team members in their reporting, if required.
* Ensure adherence to office systems and processes, while keeping an open mind to improving client experience, reduce time wastage and any other opportunity to improve.
* Attend all training sessions, conferences, seminars, meetings and work functions as directed and be prepared to share and potentially implement learnings.
* Alert management to potential, or known, problems promptly, either within your portfolio or in the department in general.
* Attend to enquiries, correspondence and complaints in a prompt and courteous manner.
* Act as an escalation point for queries, complaints and process understanding.
* Participate in ongoing performance reviews.
* Maintain personal presentation in a corporate and professional manner.
* Other duties as may be required from time to time.
Key Skills, Qualifications and Attributes :
* Current certification, registration or licence, including current driver’s licence and reliable vehicle.
* Knowledge of relevant legislation, compliance, disbursement processes / requirements and general property management.
* Computer literate with a strong desire to utilise all aspects of available software.
* Excellent time management, accountability and strong customer service skills.
* Attention to detail with strong written and verbal communication skills.
* Pride in personal duties carried out and team performance.
* Excellent dispute resolution and negotiation skills.
* Able to demonstrate initiative, empathy and be proactive.
