About the Role We’re seeking a highly organised and proactive high-level coordinator to support our corporate, regulatory, operational, and stakeholder engagement workstreams. This part-time role is ideal for a capable professional who enjoys managing communications, tracking deadlines, preparing documents, and coordinating stakeholder interactions across multiple jurisdictions and workstreams. You will work closely with the Managing Director and a suite of external consultants to ensure that activities remain coordinated, compliant, and documented. Key Responsibilities 1. Stakeholder, Research & Government Coordination Support Draft and format emails, letters, briefing notes, and meeting summaries for internal and external stakeholders, including government departments, consultants, and industry bodies. Maintain and update the company’s stakeholder contact register and ensure accurate records of all formal correspondence and meetings. Support coordination of meetings and engagements with regulators, indigenous and government representatives and departments both Federal and Territory. Track relevant industry developments, regulatory changes, and public announcements, summarising key updates for the leadership. Assist in preparing presentations and information packs for submissions, roundtables, and regulatory meetings. Extensive research on issues relating to the company to keep it abreast of globally developments in its areas of activity. 2. Document & Compliance Tracking Assist with the compilation of regulatory documentation in collaboration with consultants and internal leads. Monitor and maintain a live register of deadlines, permit timelines, approvals in progress, and compliance obligations using project tracking tools. Coordinate with consultants to ensure proper version control and submission compliance. Maintain clear and accessible digital filing systems for stakeholder correspondence, regulatory documents, and internal reports. 3. Meeting & Budget Coordination Schedule, plan, and manage logistics for internal and external stakeholder meetings (e.g., agenda setting, distribution of materials). Support tracking of operational-related budgets and expenses. Assist in preparing internal reporting materials, such as upcoming regulatory deadlines and budget trackers. Candidate Profile Qualifications & Experience 5 years in a company secretarial, executive assistant, or government liaison support role, preferably within energy, infrastructure, or environmental sectors. Strong written communication skills, with the ability to draft formal emails, letters, and briefing notes. High attention to detail in managing deadlines, records, and document control. Proficient in Microsoft Office Suite and digital collaboration tools (e.g., Teams, SharePoint, Smartsheet, or similar). Experience tracking regulatory submissions or working with external stakeholders such as government departments is a plus. Extensive experience in Law, Finance, Oil & Gas, ESG, Government and Crypto markets would be a key attribute, particularly if your exposure cover two or more of these.
