Medical Receptionist (Ophthalmology/Eye Clinic)

Our Ophthalmology Eye Clinic in Dandenong is seeking an enthusiastic and hardworking part time Receptionist to join our busy and growing clinic.
The role of Medical Receptionist is a pivotal role at our clinic. Our preferred candidate will have a can-do attitude and liaise with patients and happily work within a team with your exceptional administration skills.
Key Responsibilities:
* Leading by example in providing an outstanding level of customer service on the telephone and in meeting and greeting patients (this cannot be overstated)
* Greet patients upon arrival including collecting and entering patient details
* Answer/respond to incoming calls and enquiries
* Appointment coordination and scheduling
* Handling and triaging of patient referrals and correspondence
* Efficiently managing all patient data, worksheets, appointments, clinical files and correspondence (attention to detail is imperative)
* Assist with the smooth running of the day-to-day services of the clinic including maintaining the professional appearance and cleanliness of the patient and work area
* Liaising with Specialists, Administration and clinical team regarding patient needs
* Patient billing including Medicare, Vet Affairs and Private Health insurance
* Surgical quotations and Hospital surgical list bookings
* Carry out financial tasks: banking, invoicing, accounts, debtors, and reconciliation
* Restocking / ordering of office supplies and equipment
* Opening and closing the clinic
* Liaison with Property manager for faults/practical issues related to the clinic
* Maintaining compliance with organisational policies and procedures
Our ideal candidate will have:
* Exceptionally confident personality to liaise with both patients and specialists and medical staff
* Previous experience within a medical administration role ( Prior experience working for a Medical Specialist clinic would be highly advantageous)
* Positive can-do attitude

* Ability to work independently and efficiently without close supervision
* Confidence to be direct and clear and concise with patients and referrers
* Excellent communication and time management skills and ability to multi-task

Essential criteria:
* Previous experience within an administration role (3+ years experience in a similar role)
* This role would suit someone with an easy going and personable nature and excellent attention to detail
* Confidentiality and discretion is paramount
* Must have drivers license and own car as sometimes it is required to drop off surgical items/paperwork to nearby Hospital for Specialist surgeries and also to do banking at local shopping centre.
* Ability to both open and close the clinic (Hours of operation range from 8.30am through to 6pm-as required)
* Willingness to run ad-hoc errands
Not Essential but advantageous criteria:
* Knowledge of computer software Zedmed advantageous
* Familiarity with medical terminology in Ophthalmology is highly advantageous (but not essential)
* Ability to speak another language
