A highly regulated organisation is seeking an experienced Board Administrator to support its Company Secretariat and Board function.
This is a visible role working closely with the Company Secretary, executive leadership and the Board. You'll be central to ensuring the company secretariat function runs smoothly in a fast-moving, regulated environment.
Key Responsibilities
* Coordinate Board and Committee meetings, including scheduling, collation and distribution of papers
* Prepare agendas, shell minutes and maintain action lists
* Manage Board materials via Diligent or similar board portals
* Provide administrative and operational support to the Company Secretary
* Maintain statutory registers and company records
* Prepare resolutions, regulatory forms and company secretarial documentation
* Prepare and lodge documentation with ASIC and other relevant regulators
* Support incorporation of entities and ongoing compliance obligations
* Maintain governance databases and assist with system and process improvements
About You
* Experience in a company secretarial, governance support or board administration role, or as a legal assistant
* Exposure to a highly regulated environment
* Strong minute-taking and document coordination capability
* Familiarity with electronic board portals and record-keeping systems such as Diligent, Convene, BoardPro or similar
* Strong organisational and prioritisation skills, with the ability to manage competing deadlines
* Meticulous attention to detail and a structured approach to work
* Ability to work effectively with senior executives and external stakeholders
* A proactive, solutions-focused mindset
