**Overview**: Join our clients dynamic team as we seek a proactive and versatile individual to fill the role of Administrative and Front-of-House Coordinator. This position plays a crucial part in delivering exceptional concierge services, administrative support, and coordination to ensure the smooth operation of our business unit.
**Responsibilities**:
**Administrative and Support Services**:
Deliver comprehensive administrative support to the business unit and key staff.
Respond to inquiries and correspondence, preparing draft responses and escalating when necessary.
**Records Management**:
Maintain databases, electronic records, and document tracking systems.
Handle the receipt, registration, updating, and movement of files and correspondence.
**Concierge Services**:
Provide top-notch "front of house" concierge services for visitors.
On part of a roster to cover the concierge duties and responsibilities.
Act as the initial point of contact, offering advice and assistance on general matters.
**Research and Reporting**:
Undertake research and analysis of data/records.
Present statistical data for inclusion in reports.
Coordinate reporting requirements, ensuring timely delivery to senior management.
**Event Coordination**:
Coordinate business unit activities, including workshops, seminars, and meetings.
Participate in the design, preparation, and distribution of related resources.
Handle logistics such as venue arrangements, refreshments, and travel bookings.
**Financial Support**:
Assist with budget/financial matters, managing petty cash, accounts processing, and invoice handling.
Track budgets and process motor vehicle returns.
**Qualifications**:
- Strong organizational and communication skills.
- Ability to manage competing demands and shifting priorities.
- Proficiency in computerized systems and operating procedures.
- Demonstrated ability to work independently and assess the urgency/priority of requests.
**Additional Requirements**:
- Exercise judgment in handling confidential and sensitive information.
- Collaborate effectively within a team and adapt to evolving work priorities.
