Job Description

We are seeking a highly organised and proactive Team Support & Administration Team Leader to support our Sales and Leasing team and oversee the daily operations of our administration department.

About the Role

As the Team Support & Administration Team Leader, you will provide high-level administrative support while coordinating and guiding the broader administration team. You will play a key role in ensuring property campaigns, client communications, marketing activities, documentation, and compliance processes are delivered accurately, efficiently, and to a consistently high standard.

You will also lead, mentor, and support admin staff, oversee daily workflow, and ensure our internal processes and values are upheld across all administrative functions.


Key Responsibilities

* Administration Support:
* Prepare, proofread, and distribute documentation including appraisals, agency agreements, vendor reports, and correspondence
* Manage listing file accuracy, compliance documentation, and campaign readiness
* Coordinate marketing materials, signboards, bookings, and campaign schedules
* Liaise with photographers, solicitors, conveyancers, auctioneers, and internal teams
* Handle key management, CRM updates, and enquiry responses
* Support auction preparation including documentation and vendor communication
* Maintain professional engagement with all clients, suppliers, and colleagues
* Assist in onboarding and supporting new property coordinators and agents
* Oversee day-to-day operations of the administration team
* Provide coaching, training, and performance support to staff
* Allocate tasks and manage workflow, including leave coverage and priority setting
* Lead team meetings and regular check-ins
* Monitor compliance with internal processes and industry requirements
* Ensure accuracy, quality control, and timely completion of tasks
* Identify opportunities for process improvement and operational efficiency
* Act as the point of escalation for administrative queries and workflow challenges
* Support management with onboarding, reporting, and performance discussions


Required Skills and Qualifications

* Previous experience in an administrative support role
* Strong document preparation, formatting, and data-entry skills
* Proficiency in Microsoft Office
* Ability to liaise confidently with clients and stakeholders
* Strong organisational and multitasking skills
* Numeracy and basic accounting ability
* Professional phone manner and presentation
* Experience in team leadership, mentoring, or coordination
* Real estate or property administration experience
* Familiarity with CRM and listing platforms
* Understanding of sales/marketing campaign processes
* Experience with auction or vendor documentation
