The HR Executive Assistant provides high‐level administrative and executive support to multiple HR Directors within the Office of the CHRO, managing complex diaries, monitoring inboxes, coordinating priorities, high‐level administrative support, and ensuring seamless communication across senior leaders. The role requires strong organisational skills, sound judgement, and discretion, along with the ability to build trusted relationships and handle sensitive information professionally. Working as part of a collaborative EA team, the position supports broader HR initiatives, events, and projects, ensuring the smooth and efficient functioning of the executive office and representing HR senior leadership and Office of the CHRO with professionalism.
Responsibilities
* build and maintain trusted working relationships with internal and external stakeholders representing the HR Directors with professionalism and credibility, and ensuring matters are prioritised, coordinated and addressed with tact, diplomacy, and sound judgement
* provide tailored, high‐level executive support to multiple HR Directors, ensuring seamless operation of the executive offices through expert diary and meeting management, prioritisation of complex and time‐critical matters, and proactive coordination of executive communications, workflows and administrative services
* apply advanced organisational, administrative, and interpersonal skills to manage competing priorities, support sensitive and confidential matters with empathy, and discretion and exercise independent judgement in daily decision‐making
* collaborate closely with the Executive Assistant to the CHRO and the Executive Assistant to the Executive Director, Workplace Relations and Compliance, working as part of a connected and supportive EA group to ensure alignment, shared coverage and effective coordination across the HR leadership team.
* coordinate the planning and delivery of director‐level events, forums and activities, including leadership meetings, workshops, stakeholder engagements and team events, managing logistics, agendas, briefing materials and follow‐up actions to ensure a high‐quality executive experience
* demonstrate strong capability across communication, critical thinking, customer service, and digital literacy, including advanced Microsoft Office skills, effective negotiation and influencing, and the ability to work both autonomously and collaboratively in a fast‐paced executive environment.
Qualifications
* bring relevant experience and education or training as an Executive Assistant in a large, complex and fast‐moving organisation, and are comfortable operating at pace while supporting multiple senior leaders
* substantial experience providing high‐level executive assistance, with a strong track record in managing extremely busy and complex diaries, coordinating competing priorities, and keeping leaders focused in a dynamic and time‐critical environment
* you thrive under pressure and are highly organised, with exceptional time‐management skills that enable you to anticipate needs, plan ahead, and confidently juggle multiple demands while maintaining accuracy, professionalism and calm judgement
* can work with a high degree of autonomy, taking ownership of your workload, making informed decisions day to day, and proactively resolving issues before they escalated
* bring a professional, focused and solutions‐oriented mindset, with a genuine interest in streamlining processes, improving workflows and finding smarter ways to support Directors to operate efficiently
* can demonstrate discretion, emotional intelligence and sound judgement when handling sensitive and confidential matters, and quickly build trust through reliability, attention to detail and follow‐through
* communicate clearly and confidently, with strong customer service orientation, advanced digital literacy and excellent command of the Microsoft Office suite to manage complex workflows and produce high‐quality executive documentation
* previous experience in financial administration, including purchasing, invoice processing, expenditure tracking and compliance with organisational policies and procedures
* enjoy working collaboratively within a team of Executive Assistants, contributing to shared coverage, strong relationships and continuous improvement, while remaining confident operating independently.
