About this role
The Studio Assistant collaborates closely with the Bid Coordinator and Operations Coordinator to facilitate the creation of submissions and company materials. Your role involves assisting in the daily functioning of the studio, with a focus on managing the submission content library, crafting presentations using templates, overseeing company email accounts, liaising with sub-consultants, and providing general administrative assistance to the team as needed.
Duties & Responsibilities
1. Retrieve tender documents from online portals
2. Assist in formatting tenders and presentations using InDesign templates
3. Manage image libraries for projects and maintain content library for submissions
4. Record meeting minutes
5. Aid in coordinating staff meetings, functions, and training sessions alongside the Operations Coordinator
6. Maintain cleanliness in communal staff areas
7. Monitor office supplies and inform the Operations Coordinator when replenishment is needed
8. Attend to incoming calls on the Studio phone when necessary
9. Manage the studio email account by forwarding and responding to emails as required
Skills & Qualifications:
10. 2-3 years of administrative experience in a professional office setting; Bachelor's degree preferred but not required
11. Exceptional attention to detail with strong proofreading skills
12. Effective written and verbal communication abilities, adaptable to different audiences
13. Confidence in interacting with external suppliers and vendors to secure cooperation
14. Exposure to submission or bid processes is advantageous but not mandatory
15. Willingness to be flexible and assist with various studio operational tasks as needed
16. Proven ability to meet deadlines
17. Organized and composed approach to work, capable of handling multiple tasks simultaneously
18. Commitment to fostering a collaborative studio culture and continuous improvement
19. Proficiency in MS Office Suite, particularly MS Word and MS Excel
20. Familiarity with Adobe InDesign is desirable
21. Knowledge of MS Teams and Google Suite is advantageous
