Join the Innovative Solutions WA Team – Admin / Operations Support Wanted!

Innovative Solutions WA is growing, and we're looking for a reliable Admin / Operations Support person to help keep our job flow organised, compliant, and running smoothly.

This role is ideal for someone who enjoys structure, takes pride in accuracy, and can stay calm while juggling priorities. You'll be a key part of keeping our team on track, our systems up to date, and our customers well supported from enquiry through to job close-out.

What you'll be doing

* Answering phones, booking jobs, and handling customer enquiries professionally
* Managing job flow admin: purchase orders, scheduling support, paperwork, and job close-outs
* Supporting field staff with job documentation, photos, notes, and compliance records
* Maintaining accurate records, registers, and reports across jobs, people, and assets
* Keeping our systems clean and current (SimPRO, Xero, Asana, iAuditor)
* Supporting invoicing, chasing missing info, and maintaining accurate documentation
* General office coordination: emails, filing, scanning, supplier comms, and follow-ups
* Helping build and maintain admin SOPs, checklists, and reporting processes as the business scales

You'll be a good fit if you:

* Have admin experience (trade/services admin is a big advantage)
* Are sharp and switched on when it comes to compliance, record keeping, and reporting
* Are confident using software and can learn new systems quickly
* Write clearly and communicate well with customers and the team
* Stay calm under pressure and can juggle tasks without dropping standards
* Don't need babysitting: you can run a list, prioritise, and finish the job
* Care about accuracy (we'd rather "right" than "fast and wrong")

Experience we'd love (but can train the right person)

* SimPRO experience
* Scheduling / field services admin
* Basic accounts/admin workflows (POs, invoices, timesheets, job costing support)
