**Description**
**About the role**:
Stantec are working on some iconic and exciting projects and we are looking to grow our supportive and friendly administration team! We are looking for an Administrator to work a minimum of 15 hours per week
The primary responsibility for this role is to provide professional administrative assistance and support to the business and external clients, maintaining a high level of confidentiality and discretion at all times
**Day to day tasks would involve**:
- Reception duties
- Provide administrative support to the business, including printing, filing, archiving, formatting and binding documents, travel bookings and expense reconciliations as requested
- Assist with coordination of building maintenance when required, office equipment requirements where applicable
- In conjunction with the Shared Services Team, assist in maintaining compliance with quality, safety and environment policies and processes including assisting with audits when required
- Help coordinate travel including, flights, accommodation, hire vehicles and safety equipment as required
- Help coordinate office communications, team briefings and staff events
- Assist with the coordination of exit checklists to ensure company property is returned and all sections are completed
- All ad hoc administration duties required
- Support the Shared Services Team Lead to carry out relevant HSSE tasks as the Office Safety and Environment Coordinator (OSEC), taking reasonable precaution to provide and maintain a safe work environment and that safe systems of work are adhered to in all offices
- Assist in ensuring staff have support, training and supervision necessary to carry out office health and safety responsibilities
- Complete all work in line with Stantec Core Values and in accordance with the Stantec Quality, Safety & Environment Systems and Project Quality Procedures.
- Other duties as reasonably required
**To be successful for this role you'll need**:
- Qualification in relevant discipline such as Business Administration or equivalent relevant experience preferable
- Demonstrated experience delivering excellent administration and office management services
- Minimum 3 years' experience in an administration role
- Excellent organisation and time management skills, including the ability to multi-task and prioritise work
- Intermediate knowledge of Microsoft Office, with the ability to learn new systems easily
- Excellent communication skills
- Initiative and self-starting to identify opportunities to provide support pro-actively to the business
- Strong attention to detail
- Competent level of decision making i.e. able to identify, assess, evaluate and solve problems
- Self-motivated and able to use initiative.
- Able to travel and pick up items as required
