Administration Assistant – Early Learning and Care
Location: Onsite at any of CatholicCare Tasmania's Offices - Hobart, Launceston, Devonport or Burnie

CatholicCare Tasmania's Early Learning and Care team delivers Outside School Hours Care (OSHC) and Early Learning Ludo Programs (ELP) in schools across Tasmania. We provide before-school care, after-school care, vacation care for children aged 4–12, and early learning programs for children aged 3–5.
We are seeking an Administration Assistant to support our state-wide Early Learning and Care Operations Team. This role is ideal for someone who is highly organised, detail-oriented, and passionate about delivering exceptional customer service.
About the Role
As an Administration Assistant, you will:
* Manage end-to-end child enrolment processes, including site tours and Child Care Subsidy support.
* Handle vacation care bookings and distribute program information to families.
* Maintain accurate child records and time/attendance data using Qikkids.
* Respond to parent enquiries promptly and professionally across phone, email, and written correspondence.
* Monitor debtors, process payments, and liaise with Tasmanian Collection Service.
* Provide general administrative support including filing, archiving, and reception duties.
* Actively manage waitlists and maintain stakeholder contact lists.
What We're Looking For
* Previous experience in a similar administrative role.
* Strong data entry skills with high accuracy and attention to detail.
* Proficiency in MS Office (Outlook, Word, Excel).
* Excellent time management and ability to work independently.
* Strong interpersonal and communication skills for engaging with families and team members.
* Ability to work collaboratively within a team environment.
* Desirable: Experience with childcare management systems such as Qikkids or Xplor.
