Purpose of the Role This role ensures the day-to-day operations behind a major national challenge run seamlessly.
You'll coordinate participant enquiries, support a small customer service team, maintain internal systems and processes, and help ensure events, beneficiary partnerships and internal projects stay on track.
It's a role for someone who loves detail and enjoys being the go-to person who keeps things moving.

In this role, you will: Coordinate participant enquiries and deliver an exceptional experience through HubSpot.
Guide and support a small customer service team through busy peaks.
Maintain policies, procedures and an internal Playbook that keeps everyone aligned.
Respond to escalated tickets and improve chatbot responses, FAQs and automated forms.
Work closely with beneficiary partners, helping manage relationships and track actions.
Support event delivery by keeping project plans, risks and deadlines on track.
Build dashboards, reports and weekly summaries that keep leaders informed.
Become the go-to SME for HubSpot, Funraisin and organisational systems.
Improve processes, documentation and SOPs across the organisation.
Test website functionality and work with the tech team to log and resolve issues.
About You You're someone who enjoys variety, loves being busy and takes genuine pride in keeping things running smoothly.
You bring warmth, attention to detail and the confidence to coordinate people, systems and tasks with ease.
You will need to: Be highly organised and calm under pressure.
Communicate clearly, kindly and confidently with diverse stakeholders.
Manage multiple priorities without missing a beat.
Spot operational bottlenecks and find practical ways to improve them.
Adapt quickly during high-volume event periods.
Build trust quickly and keep everyone aligned around deadlines and expectations.
Your experience includes: 5+ years in operations, coordination, senior customer service or similar roles.
Strong Excel capability — pivots, formulas, reporting, data cleaning.
Leading or supporting small teams in a hands-on way.
Working with CRMs or business systems at a high level (HubSpot or similar ideal).
Stakeholder engagement in fast-paced, high-volume environments.
Experience in events, community programs, not-for-profit or digital operations (desirable).
