Position Overview
The Payroll & Administration Officer is responsible for the accurate and timely processing of payroll, supporting internal property management coordination, assisting with project administration in Simpro, and contributing to the maintenance of the company’s Integrated Management System (ISO).
This role requires strong attention to detail, organisational skills, and the ability to manage multiple responsibilities across finance, operations, and compliance functions.
Key Responsibilities
Payroll (Primary Function)
* Process weekly/fortnightly payroll in an accurate and timely manner
* Maintain employee records, timesheets, leave balances, and payroll data
* Ensure compliance with relevant legislation, awards, and company policies
* Prepare payroll reports and assist with audits as required
* Liaise with employees regarding payroll queries
Property Liaison (In-House Rental Properties)
* Coordinate and conduct property inspections for company-managed housing
* Liaise with external property managers as required
* Act as the primary contact for employee tenants
* Manage tenancy-related communication, maintenance requests, and records
Simpro Administration Support
* Assist with processing delivery dockets and materials used sheets
* Support job costing and project administration tasks within Simpro
* Ensure accurate data entry to support project tracking and reporting
* Liaise with workshop and administration teams to maintain data integrity
Reception & Office Administration
* Manage front desk operations, including greeting visitors and handling enquiries
* Answer and direct incoming phone calls in a professional manner
* Manage incoming and outgoing mail and deliveries
* Provide general administrative support to the wider team as required
* Ensure a welcoming, professional first point of contact for clients, contractors, and employees
Selection Criteria
Essential
* Minimum 3 years’ experience in payroll processing
* Strong knowledge of payroll systems, processes, and compliance requirements
* High level of accuracy and attention to detail
* Strong organisational and time management skills
* Ability to manage multiple tasks and meet deadlines
* Proficient in Microsoft Office (Excel, Word, Outlook)
Desirable
* Relevant qualification in Payroll, Accounting, or Business Administration
* Experience using Simpro or similar job costing systems
* Experience working within an ISO-certified environment
* Experience in property or tenancy coordination

Reporting Line
Reports to: Administration Manager
Competitive salary package, commensurate with experience

Pay: $65,000.00 – $90,000.00 per year
