Service & Parts Administrator – Darwin

Darky's Mechanical Services (DMS) is expanding our Darwin operations to support remote community workshops across East Arnhem Land. We're seeking a reliable and organised Service & Parts Administrator to work closely with our Darwin Service Supervisor.
This role blends service administration with hands-on parts and freight coordination. You'll keep the paperwork, parts, and freight moving smoothly so our field teams can focus on keeping machinery running in remote communities.

What You'll Do
* Service Administration (Supporting the Service Supervisor)
* Enter and update jobs in Mechanic Desk.
* Prepare job packs, quotes, and service paperwork.
* Assist with invoicing and customer communication where required.
* Maintain records of completed jobs, parts usage, and freight dispatch.
* Book Accommodation in remote communities for our team.
* Organise flights to and from remote communities for our team.
* Parts & Freight Coordination
* Source and pick up parts from Darwin suppliers.
* Pack, label, and document parts and consumables for jobs.
* Organise freight to remote communities and track deliveries.
* Troubleshoot transport or supply issues quickly to minimise downtime.
* Assist Gove team for emergency freight needs from Darwin.
* Team & Customer Support
* Act as admin support to the Service Supervisor, ensuring they have accurate info and paperwork.
* Be a helpful contact for customers regarding admin queries (not technical/job scheduling).
* Maintain organised systems for parts, freight, and service documentation.

What We're Looking For
* Minimum 2 years admin experience in a service, logistics, or trades environment.
* Knowledge of parts/mechanics (or willingness to learn).
* Strong organisational skills and attention to detail.
* Ability to juggle priorities in a fast-paced environment.
* Good communication and teamwork skills.
* Current NT driver's licence.
* Proficiency in Microsoft Office (especially Excel and Word)
* Strong data entry skills with high attention to accuracy
* Australian work rights (citizenship, permanent residency, or valid work visa)
