M1 Traffic and Labour Goulburn Valley are seeking an Operations Assistant for their depot based in Shepparton. This position is responsible for ensuring the smooth and efficient operation of managing day-to-day administrative tasks, coordinating schedules, and implementing efficient workflows, facilitating communication with clients and staff and collaboration with the entire Operations team.

Key Responsibilities:

Coordination and Scheduling: Organising meetings, accommodation, events, and booking of resources for daily jobs.

Record Keeping and Management: Maintaining records, databases, and filing systems. Monthly reporting as required.

Communication: Communicating with various departments, customers, clients and staff to ensure smooth operations and to secure repeat business. Respond to and resolve customer enquiries professionally and promptly - email, phone, face to face.

Data Entry and Management: Entering and managing data in various systems. Processing purchase orders and invoices.

Office Management: Handling office supplies and inventory, ensuring the office is well‐maintained. Ordering and maintaining traffic / labour specific equipment and supplies. Office and Depot/Yard cleaning as required.

Problem‐solving: Addressing operational issues and implementing solutions.

Compliance: Meet Operational compliance with Quality Assurance, Health & Safety and Environmental requirements, both within the Office and out on site. Ensuring staff skills are kept up to date and compliance of vehicles. Managing staff contractor inductions and compliance to each site. Vehicle pre‐starts and maintenance.

Supporting other departments: Providing administrative support to various departments, including HR, IT, Fleet Manager and finance.

Recruitment, Training and Development: May assist with employee training and development initiatives. Recruitment of new employees with aim to have them actively working within two weeks of face‐to‐face induction.

Skills and Qualifications:

Strong organisational and communication skills.

Ability to multitask and prioritise tasks effectively.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Knowledge of relevant software and systems used in the organization. Xero / Traffio / Traftrak

Strong problem‐solving skills and professionalism.

Good attention to detail and accuracy.

Ability to work independently and as part of a team.
