About the Opportunity
The University of Sydney seeks an experienced Administrative Assistant for the Sydney Health Executive Education unit within the Faculty of Medicine and Health. This role provides administrative support across teams, including education, marketing, partnership, and academic sectors. Key responsibilities include maintaining records, responding to queries, and preparing for meetings.
Your key responsibilities will be to:
* Manage daily administration activities and services, providing guidance on ongoing activities and ensuring high-quality, efficient administrative support is provided to staff, participants, clients, and visitors.
* Analyse incoming correspondence, initiate appropriate action where possible, and/or forward matters to relevant individuals/specialists for resolution.
* Coordinate orders, payments, and invoice management through university systems.
* Act as a point of contact for HR operational matters, assisting managers and staff with HR forms, leave bookings, policy navigation, and other HR information or policy matters.
* Provide high-level assistance with HR casual contracts such as CASS, OTA.
* Offer high-level administrative support, including diary management, travel coordination, and expense submissions and management.
* Ensure the coordination of meetings, venue confirmations, and course delivery.
About You
You are a proactive individual with strong organisational skills, enthusiastic about providing administrative support in education and healthcare. Excellent written and verbal communication skills enable you to engage diverse audiences and facilitate collaboration across teams.
* Practical and tactful communication skills, strong critical thinking skills, and the ability to use initiative and exercise sound judgment.
* Independent and autonomous with the ability to work in a team, resolving matters that arise with daily tasks.
* Excellent time and workload management skills, demonstrated ability to prioritise effectively, manage multiple tasks, meet deadlines, and achieve outcomes.
* Computer skills, experience with Microsoft Office (advanced Excel skills), Power Bi, and content management systems, together with operating large corporate-level databases and information systems.
