The Role

We are seeking an experienced and proactive Project Administrator / Administration Assistant to join our team on a maternity leave cover basis. This is a pivotal role that supports the day-to-day operations of our business, ensuring seamless coordination between the office, onsite teams, clients, and suppliers.

You’ll be responsible for a wide range of administrative, financial, and operational tasks that keep our projects running smoothly and our office functioning efficiently.

Key Responsibilities

- Manage office communications, supplies, and general administration

- Liaise with customers, suppliers, and onsite staff to coordinate responses and resolve issues

- Maintain accurate records across project, accounting, and personnel systems

- Process payroll, timesheets & superannuation

- Taxation lodgement obligations & reporting

- Support the Estimator with quotations, tenders, and project documentation

- Assist with accounts receivable/payable, reconciliations, and basic accounting tasks

- Administer WHS documentation and provide basic IT and website support

- Prepare job packages, progress claims, invoices, and statutory declarations

- Monitor project milestones and risks, and contribute to post-project reviews

- Support process improvements and assist with reporting and compliance

- Prepare warranties, manuals, and final project documentation

- Perform other duties as required by management

- Personal assistant to Director & Business Manager

About You

- Proven experience in senior administration in construction or trades industry preferred

- Strong organisational and multitasking skills

- Excellent communication and problem-solving abilities

- MYOB experience (MUST HAVE)

- Proficient in Microsoft Suite

- Power Apps experience (Desirable)

- Job management software experience

- Ability to work independently and take initiative

- A team player with a proactive and adaptable attitude
