About The Opportunity
Are you an organised, proactive, and detail-oriented professional looking to make a real impact in the healthcare sector? We're seeking highly motivated individuals to provide essential secretarial and administrative support to our Department Head, Director of Physician Training, Medical Officers, Specialists, and broader clinical and research teams. We have multiple vacancies available and will consider Full Time and Part Time applications for this role.
In this diverse and rewarding role, you'll manage busy calendars, screen enquiries, draft correspondence, maintain medical staff records, and handle financial processes including payments, invoicing, and budget tracking. You'll be the go-to person for coordinating meetings, preparing agendas and minutes, and ensuring seamless follow-up.
You'll also play a vital role in organising education and training events such as Grand Rounds, Masterclasses, FRACP exams, and Medical Officer orientations. From room bookings and catering to liaising with sponsors and external providers, your coordination skills will help bring everything together smoothly.
Ideal candidates will thrive in a fast-paced environment, capable of juggling competing priorities and thinking creatively to streamline systems and processes. Experience with rosters, recruitment, and TESL applications is highly desirable.

What You'll Be Doing
Providing effective, efficient and high quality Secretarial support to the Director of Medicine, Director of Physician Training, Staff Specialists, Visiting Medical Officers, Advanced Trainees, Medical Registrars, Nursing and Research Staff.
This role is to act as first point of contact for the Department of Medicine, plus a range of contacts at all levels from Western Sydney University, research stakeholders, medical representatives, Primary Health Network, Royal Australian College of Physicians and hospital staff liaising with the medical team.

* Demonstrated understanding of the NSW Hospital Medical Workforce structure.
* Demonstrated high level experience in the use of all Microsoft Office software with excellent keyboard skills. Experience in Health Roster.
* Demonstrated experience in office management and administration skills with an ability to organise and prioritise work and complete tasks within tight timeframes.
* Demonstrated high level written communication skills, preferably with previous experience in the preparation of research grant applications or other complex documents. High level of verbal communication skills at various levels.
* Demonstrated ability to exercise judgement with regard to the release of information on confidential matters.
* Experience in rostering and employment processes. Working knowledge of Medical officer awards.
* Demonstrated and well developed planning, organisational and problem saving skills with the ability to show initiative and work unsupervised.
* Demonstrated capacity to achieve results through liaison, negotiation, advocacy and conflict resolution.
