Role Purpose
The Client Services Manager will provide clients with exceptional experiences through positive, proactive, and direct interactions and support, whilst delivering vital administrative assistance to Financial Advisers as part of the Advice Delivery framework.
This role is central to ensuring seamless client journeys and efficient adviser operations.
Key Responsibilities
Act as the first point of contact for clients, answering calls and directing enquiries appropriately
Liaise with clients and stakeholders to ensure needs are met and communication is consistent
Document all client interactions and advice processes in Xplan and Teams
Lodge, track, and complete investment and insurance applications
Prepare and send quarterly correspondence and financial services guides
Accurately complete compliance documents including Fee Disclosure Statements, Service Agreements, and Consent Forms
Support monthly review cases and compliance checklists
Maintain and update client databases and files to ensure accuracy and compliance
Assist with client events, information sessions, and Adviser appointments
Prepare and collate documents for Adviser meetings within required timeframes
Key Qualifications & Experience
Previous experience in client services, administration, or financial services support
Strong organisational skills with exceptional attention to detail
Excellent communication and interpersonal skills, with confidence in liaising with clients and stakeholders
Ability to manage multiple tasks and meet deadlines in a fast-paced environment
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
Experience with Xplan or similar financial planning software (highly regarded)
Knowledge of compliance requirements within financial services (preferred)
Demonstrated ability to work collaboratively within a team and provide support during absences
Professional presentation and a client-focused mindset
