The Role
Austrade seeks a dynamic and collaborative APS 6 Executive to support Austrade's Deputy Chief Executive Officer (DCEO), Policy and Programs.
The Executive Assistant will work closely and collaboratively with the DCEO, their Executive Officer, and broader Austrade leadership team (and their respective support teams), to ensure the efficient and effective operation of the DCEO office.
The successful candidate will possess strong communication and interpersonal skills, including the ability to build rapport and collaborate effectively with internal and external stakeholders.
This role requires strong communication and organisational skills and the proven ability to proactively triage and action multiple competing priorities.
This role is based in Austrade's office in Canberra. While requests for flexible work (including work from home) will be considered, the duties of the role require the employee to predominantly work in the office. During peak periods, additional hours or working outside of standard hours may be required.
Duties Include
* Managing the DCEO's forward calendar and inbox, bringing priority matters to the attention of the DCEO and/or their Executive Officer.
* Managing travel bookings including approvals, visas, transport, accommodation, and supporting the Executive Officer in developing itineraries.
* Coordination of meetings on behalf of the DCEO, compiling and distributing agendas and requesting any other supporting material as necessary.
* Providing quality assurance across a range of administrative approvals (including credit card reconciliation and travel request forms), ensuring adherence to corporate policies and reinforcing a culture of compliance.
* Liaising effectively with a range of internal and external stakeholders (including the broader Executive Assistant and Executive Officer cohort), exercising judgement and professionalism to build productive working relationships.
* Maintaining sensitive information with utmost discretion at all times.
* Performing 'front of office' support functions, including meeting room set up and greeting visitors.
* Working independently with minimal supervision, including remote support as required (e.g. while the DCEO is travelling).
* Printing and collating the DCEO's daily briefing pack and other material as required.
