Macneil Group is a diverse, Ballarat based company engaged in residential and commercial property development and construction projects.

The Opportunity:

We are seeking a Project Administrator to support our residential and commercial construction projects. This role is perfect for someone with experience in estimating, contract administration or construction coordination, or for a motivated individual who is eager to learn, grow, and contribute in a collaborative yet independent environment.

In this position, you will be instrumental in cost analysis, contract management, and project coordination. You will work closely with project managers, suppliers, and subcontractors, contributing to a team-focused approach while also demonstrating the ability to take initiative and manage tasks autonomously. Whether you have direct experience or the ability to quickly adapt, we are excited to hear from you.


Key Responsibilities:

* Assist in preparing project budgets, cost estimates, and financial tracking, ensuring alignment with both team goals and individual project requirements.
* Review and manage contracts, variations, and supplier agreements, ensuring compliance and cost-efficiency while working collaboratively with the team.
* Support procurement efforts, including negotiating with suppliers and subcontractors, and finding opportunities to streamline processes.
* Assist with progress claims, invoices, and payment tracking, contributing to the timely completion of project financials.
* Help maintain project documentation and compliance requirements, working with project teams to ensure consistency and accuracy.
* Liaise with project teams to ensure seamless communication and reporting across multiple stakeholders.
* Proactively identify cost-saving opportunities without compromising quality, fostering both independent and team-driven solutions.


What We're Looking For:


For Experienced Candidates:

* Background in estimating, contract administration, or construction coordination with a proven ability to collaborate in team environments and also manage multiple projects independently.
* Strong understanding of residential and commercial construction processes, with the ability to both contribute to and lead aspects of project coordination as needed.
* A self-starter who thrives in both team settings and when managing individual tasks.


For Motivated Learners:

* Strong numerical, analytical, and organizational skills, with a keen interest in construction cost and contracts.
* A quick learner with the ability to both follow structured processes and adapt independently as the project requires.
* Eagerness to work within a team while also showing initiative to take on responsibilities and manage tasks autonomously.


For All Candidates:

* Excellent communication and negotiation skills to effectively engage with colleagues and external partners.
* Detail-oriented with strong problem-solving abilities, capable of contributing independently and within a team environment.
* Proficiency in Excel and/or estimating/project management software (or willingness to learn and adapt).
* A team player who is also capable of handling multiple tasks independently in a fast-paced environment.
