We are offering 1 position at the School of Architecture, Design and Planning and 1 position at the School of Civil Engineering. This is an excellent opportunity for someone with strong communication and problem-solving skills who thrives in a dynamic, team environment. You will play a key part in ensuring the smooth operation of the Head of School’s office. Key responsibilities will include: Ensure the smooth running of the Executive's day-to-day work schedule, including managing the electronic diary; coordinating incoming correspondence/enquiries; scheduling meetings/activities and engagements and coordinating communications. Coordinate travel arrangements and itineraries for the Head of School. Coordinate and provide administrative and/or secretarial support to relevant boards and committees. Proactively plan, coordinate and support relevant school events, and their logistical details. Ensure the Head of School is briefed on relevant issues and background information in preparation for meetings. Oversee the flow of information and administrative processes between the Head of School’s office and relevant areas. Support visitor and unpaid appointments and coordinate the application process. Liaise with staff, students, external stakeholders and community members, handling a wide range of inquiries and initiating follow-up actions as required. Manage financial operations such as reimbursements, expense claims, and delegations on behalf of the Head of School. Any other duties commensurate with the position as reasonably directed by the Head of School or School Manager. Excellent interpersonal skills, including the ability to communicate effectively and respectfully with diverse groups within, and external, to the School and University. High level of organisational skills, including the ability to prioritise competing work demands and meet deadlines, whilst maintaining accuracy and attention to detail. Ability to work independently and use initiative demonstrating problem solving strategies. Excellent written communication skills with experience in preparing documents with a high level of accuracy.
