Work Requirement:
This role requires on-site presence in the Geelong office at least 4 days per week.
Key Responsibilities
* Develop and implement office policies and administrative procedures to ensure efficient and compliant operations
* Identify and improve office systems, processes, and workflows to enhance productivity
* Oversee daily office operations and ensure smooth administrative functioning
* Supervise office staff, monitor performance, and coordinate workflow
* Manage client communication, correspondence, and preparation of official documents
* Maintain an organised and efficient office environment
* Coordinate employee schedules and resolve operational conflicts
* Support recruitment, onboarding, and workforce planning
* Handle invoicing, expense reporting, and financial documentation
* Monitor and manage office budgets and resource allocation
* Ensure compliance with government regulations and company policies
* Coordinate HR activities including recruitment, onboarding, performance management, payroll support, and training
Skills & Experience Required
* Education: Associate degree or higher in Business Administration, Management, Marketing, International Trade, or related field
* Experience: Minimum 4 years in office Manager (management) or a senior administrative role
* Industry Background: Experience in Accounting or Law firms preferred
* Compliance Knowledge: Familiarity with regulatory requirements is an advantage
* Language Skills:
o Excellent English communication (written & verbal)
o Urdu & Punjabi proficiency highly desirable
* Technical Skills: Strong proficiency in MS Office and office/inventory management systems
* Personal Attributes:
o Strong organisational and leadership skills
o High level of discretion and confidentiality
o Ability to multitask and manage competing priorities
o Proactive, collaborative, and detail-oriented
