Our Role in Information Governance
The Document Management Specialist is responsible for designing, configuring, and maintaining document libraries and structures within our collaborative environments and other structured document repositories.
This role ensures effective migration, governance, and lifecycle management of critical business documents and records, aligning with organizational policies, security requirements, and best practices in information management.
Key Responsibilities
* Design, implement, and optimize document libraries, metadata structures, taxonomies, and workspaces.
* Create and maintain workflows, permissions, and access controls to ensure secure document collaboration.
* Lead or assist in the migration of documents from legacy repositories to Office 365, ensuring minimal disruption and data integrity.
* Map metadata and ensure appropriate classification, tagging, and storage of migrated content.
* Reformat key documents into standard formats when required.
* Develop, standardize, and maintain document templates.
* Contribute to the development, implementation, and communication of information governance policies and procedures.
* Administer records management processes across the full information lifecycle, including creation, use, retention, archiving, and disposition.
* Support audits, eDiscovery, and compliance checks related to information management practices.
* Identify and mitigate information risks by ensuring appropriate controls are in place.
* Deliver workshops, training sessions, and documentation to support end-user adoption of information management tools and best practices.
Requirements
* Bachelor's degree in Information Management, Library Science, Computer Science, or related field (or equivalent experience).
* 3+ years of experience in Office 365 (SharePoint, Teams, OneDrive) configuration and administration.
* Strong knowledge of records management and information governance frameworks.
* Familiarity with document migration strategies, metadata design, taxonomy management, and retention policies.
* Excellent communication and stakeholder management skills.
* Ability to design and deliver end-user training and documentation.

* Certified Information Professional (CIP) - AIIM.
* Information Governance Professional (IGP) - ARMA.
* Certified Records Manager (CRM) - ICRM.
