Join a small but highly impactful Executive Office at one of Victoria’s most beautiful regional councils.
Macedon Ranges Shire Council is seeking a skilled, highly organised and tech-savvy Executive Assistant to support the Chief Executive Officer during the period May 2026 to September 2027. This is a pivotal role providing trusted support to the CEO while working closely with Councillors and senior leaders across the organisation.
As the first point of contact for the Chief Executive Office, you will exercise sound judgement, political awareness and organisational insight. You will manage high-level communications, coordinate complex workflows, support Councillors when required, and ensure the Executive Office runs smoothly in a dynamic and fast-paced environment.
This role offers rare exposure to the strategic and community-shaping work of local government. From major infrastructure and community projects to initiatives that protect and enhance the unique character of the Macedon Ranges, you will gain insight into decisions that directly impact the region and its communities.
About the role
In this role, the Executive Assistant coordinates and prepares briefing materials, reports, and meeting documentation to support the CEO’s participation in Council meetings, executive forums, and key stakeholder engagements. The position plays a central role in monitoring emerging organisational and community issues, ensuring the CEO receives timely information, analysis, and insights to support informed decision-making. Acting as a strategic partner, the Executive Assistant helps anticipate priorities, manage complex workflows, and ensure that both internal and external stakeholders are effectively engaged. This is a unique opportunity to be at the heart of Council’s strategic operations, working closely with an approachable and highly respected CEO and gaining exposure to projects and initiatives that directly shape the future of the Macedon Ranges community.
About you
You are an experienced Executive Assistant who thrives in a fast-moving environment and enjoys being at the centre of organisational activity.
You bring exceptional organisational skills, political awareness and the ability to anticipate needs before they arise. Highly confident with technology, digital tools, and AI-enabled platforms, using innovative approaches and creative problem-solving to streamline workflows, improve information management, and enhance the efficiency and effectiveness of the Executive Office.
You will also bring:
• A Certificate or Diploma in Office/Business Administration or extensive senior-level Executive support experience
• Demonstrated experience supporting a CEO or Executive in a political, government or complex organisational environment (preferred)
• Exceptional digital capability, including advanced Microsoft Office skills and the ability to leverage emerging tools, including AI, to support executive productivity
• High level written and verbal communication skills, including the ability to prepare clear, professional correspondence and reports
• Strong judgement, discretion and advanced problem-solving capability
• The ability to build trusted working relationships with senior leaders, Councillors and stakeholders
