We're seeking an experienced Medical Receptionist / Administration Officer / Practice Administrator to own our front desk and patient experience within a busy allied health practice.
You'll lead bookings, communication, intake preparation, billing, documentation, and daily operations so the clinic runs smoothly and clinicians can focus fully on delivering exceptional care. You'll also plan and schedule social media content to maintain a consistent, professional presence.
This role is for someone organised, proactive, and calm under pressure who anticipates needs, takes ownership, and maintains high standards without being asked.

The role
Own the front desk and daily operations so every person feels welcomed, prepared, and confident — and the day runs calm, efficient, and professional. You prepare information ahead of time, manage communication clearly, and keep everything flowing so clinicians can focus fully on delivering exceptional healthcare. This is not a passive reception job. It's an ownership role with real responsibility and impact.

What you'll own
Patient & Referrer Experience (primary focus)
• Welcome every visitor professionally and confidently
• Manage calls, bookings, and communication clearly and efficiently
• Gather and prepare information ahead of appointments
• Ensure patients know what to expect
• Keep the front desk calm, organised, and reliable
Administration & Operations
• Scheduling that supports smooth daily flow
• Billing, payments, reconciliation
• Accurate documentation and records
• Stock and clinic readiness
• Use and improve systems (Cliniko, Teams, Asana)
• Work confidently on Mac-based hardware
Brand & Engagement
• Plan, create, and schedule professional social media content
• Maintain consistent brand standards
What success looks like
• Patients feel welcomed, informed and confident
• Referrers experience clear, professional communication
• Clinicians have everything prepared and ready

Experience
• Reception or administration experience (medical/allied health ideal)
• Strong systems and computer competence
• Billing/payment processing exposure
• Social media/content creation expertise
