Primary objective
Provide high level executive information, coordination and support services to the Office of the Chief Health Officer (OCHO) and
the Public Health Division, in particular, the Office of Emergency Management.
Key duties and responsibilities
1. Provide high level executive coordination and support services to the CHO including reviewing, triaging, recording and
delegating (as required) all documentation relating to the CHO's portfolio and legislative responsibilities.
1. Maintaining appropriate administrative systems, registers, processes, databases, and record management ensuring effective
and efficient workflows within OCHO and OEM
3. Provide high level secretariat support services for identified meetings including jurisdictional Committees, governance meetings
and workshops including coordinating and arranging logistics, preparing and circulating meeting papers, minute taking and
actions arising follow up.
1. Assist with writing and development of high-level documentation e.g. reports, ministerial, plans and briefing papers.
2. Support the OCHO and OEM to undertake strategic projects and participate in emergency responses as required
3. Follow defined service quality standards, Workplace Health and Safety (WHS) policies and procedures relating to the work
being undertaken in order to ensure high quality, safe services and workplaces.
Selection criteria
Essential
1. Demonstrated experience in providing high level information, coordination and support services at the Executive level, including
the ability to prepare and review correspondence, research, analyse and interpret information.
1. Demonstrated experience in providing secretariat services for jurisdictional Committees, Working Groups, Senior Executive
meetings and workshops.
3. Highly developed interpersonal, oral and written communication skills, with demonstrated experience communicating with
Senior Executives and Minister's Offices, both locally and nationally and with people from diverse cultures.
4. Demonstrated high level organisational skills with proven effective operation within a high-pressure environment, and with a
high level of integrity in managing sensitivities and confidential situations and information.
5. Demonstrated high level competency in the use of business-related computer systems including, spreadsheets, databases,
email, records management, and an ability to extract information and reports.
6. Demonstrated ability to exercise judgement, initiative, intelligence and common sense.
