360 Early Education is seeking an experienced Facilities Administrator to join our team on a part-time basis. This role supports the Approved Provider and Nominated Supervisor and is integral to ensuring the smooth administration, facilities coordination, and CCS & fee management across services.
The position plays a key role in supporting families, maintaining compliance, and ensuring operational excellence within a high-quality early childhood education environment.

Who We're Looking For?
* Experience in administration within early childhood or a similar regulated environment
* Strong CCS and childcare fee management knowledge
* High attention to detail and organisational skills
* Professional communication skills and a family-focused approach
* Ability to work collaboratively and independently
* Experience or training in Administration
* Current First Aid, Anaphylaxis and Emergency Asthma Management
* Valid Working With Children Check / Working With Vulnerable People Check
Your Key Responsibilities: Administration & Service Support
* Act as a welcoming first point of contact for families, staff, and visitors
* Ensure efficient and effective service administration
* Build and maintain strong, professional relationships with families and staff
* Support enrolment, orientation, and transition processes
* Manage front-of-house duties including phone, door, and PIN code administration
* Maintain privacy and confidentiality at all times
CCS & Fees
* Point of contact for fee information for new and existing families
* Manage Child Care Subsidy (CCS), including estimates and checks
* Support access to additional funding and subsidies, including ACCS and grant documentation
* Complete fortnightly billing of families across all services
* Maintain records of families with special fee and bond arrangements (payment plans)
* Issue fortnightly statements to families
* Run ad hoc reports as required
* Manage consumable and shopping orders (Woolworths, Coles, Ikea, Big W and online retailers)
* Maintain accurate record management in line with Appendix 2.3a Record Keeping and Archiving Schedule
Facilities, WHS & Operations
* Coordinate maintenance, contractors, inspections, and equipment servicing
* Maintain maintenance registers and ensure WHS compliance
* Support QA2 and QA3 requirements
* Coordinate fleet, signage, medication, and inspection management
* Support environmental sustainability initiatives
Systems & Compliance
* Use organisational systems including Xplor, Employment Hero, Teams, Safety Culture and Device Management
* Work within the National Quality Framework, National Regulations and National Quality Standard
* Adhere to all organisational policies, procedures, and child safe principles
