We're looking for a Purchasing Assistant to join our procurement team and work closely with the Purchasing Manager to keep materials and parts flowing across our creature builds.

In this role, you'll manage the day-to-day purchasing process — from requesting and comparing supplier quotes through to raising orders, tracking deliveries, and maintaining accurate records. You'll also support inventory operations, including receiving goods, conducting quality checks, and ensuring stock is allocated and available when the workshop and engineering teams need it.

CTC runs multiple projects at once across live entertainment, theme parks, and global events, so you'll be supporting several workstreams at any given time. Strong prioritisation and a willingness to flex across tasks will help you stay on top of competing demands as project timelines shift.

This is a full-time role based onsite at our facility in Port Melbourne.

A little about the role...
* Process purchase requests and raise purchase orders, making sure procurement runs smoothly and stays aligned with project timelines.
* Request and compare supplier quotes to support informed purchasing decisions and help maintain cost control.
* Track order progress by liaising with suppliers and keeping systems up to date, so the wider team has clear visibility on what's coming in and when.
* Maintain accurate purchasing records — including stock levels, pricing, and supplier details — to support inventory planning and audit readiness.
* Coordinate with internal teams to clarify requirements, confirm order details, and keep everyone aligned on priorities.
* Receive and unpack deliveries, check items against orders, and allocate stock to the correct job codes or departments.
* Monitor consumable levels using the Kanban system and initiate restocking to keep critical materials available.
* Complete QA and QC checks on incoming goods to uphold quality standards and traceability.
* Arrange couriers and local pickups — including using the company vehicle when needed — to ensure materials are dispatched and collected on time.
* Support the Purchasing Manager with other procurement and inventory tasks as they come up.

* Thrive on being organised and keeping systems up to date with accurate purchasing data.
* Have a knack for following up with suppliers and making sure nothing falls through the cracks.
* Enjoy comparing quotes and supporting value-based decisions
* Are confident in raising and placing purchase orders using ERP or task management tools
* Bring at least two years' experience in a similar administrative, purchasing, or inventory role
* Communicate clearly and proactively with colleagues across departments
* Like rolling up your sleeves to check deliveries and make sure everything arrives as expected
* Know how to keep track of stock and assign materials to the right jobs
* Keep an eye on stock levels and know when to trigger reorders
* Don't mind jumping in to help with dispatch, couriers, or quick supply runs when needed
