Will Organise is a conference and event management company based in Gosford on the Central Coast. We are a small, high-performing team delivering big results, and we're looking for an experienced and motivated Conference Manager to join us in this highly sought‑after role.
The position is full time commencing April 2026, initially on a 12‑month contract with the potential for extension. Hours are primarily Monday to Friday, 9am–5pm, however flexibility is essential for evening meetings. Interstate and potentially international travel will be required from time to time, including some weekend work.
With 12+ conferences & events a year and the Secretariat management of several medical associations, there is never a dull moment at Will Organise. This is a dynamic, hands‑on role overseeing multiple conferences simultaneously from planning through to delivery.
Key Responsibilities
As Conference Manager, your responsibilities may include:
* Leading the end‑to‑end planning and delivery of conferences and events.
* Developing conference schedules, timelines and critical path plans.
* Researching, assessing and recommending suitable venues.
* Managing relationships with committees, delegates, speakers, sponsors and suppliers.
* Preparing agendas, documentation and reports; attending meetings, taking minutes and ensuring timely action follow‑up.
* Overseeing conference websites and ensuring content remains current.
* Drafting and proofreading documents, correspondence and marketing materials.
* Managing event marketing including EDMs and social media promotion.
* Overseeing delegate services including registrations and customer enquiries.
* Managing budgets, invoicing and credit card reconciliations.
* Supervising onsite event operations, ensuring smooth and professional delivery.
* General office management and contribution to continuous process improvements.
* Collaborating with and supporting the wider team as needed.
Essential Criteria
* Minimum of 3-5 years of conference or events management experience is required.
* Experience using EventsAIR software.
* Strong proficiency in Word, Excel, PowerPoint and Outlook.
* Confident with IT, databases, and new technology.
* Database administration experience is required to manage complex event data systems.
* Demonstrated ability to work independently, manage competing deadlines and lead multiple projects simultaneously.
* Excellent communication, relationship management and problem‑solving skills.
* A positive attitude, sense of fun and team‑focused approach.
* Flexibility to attend evening meetings, travel and work weekends when required.
* Australian work rights are required for this position.
Desirable Criteria
* Creative flair for developing visual or marketing materials.
* Experience working with associations conferences.
