Executive Assistant to Regional Managing Director Australia and New Zealand Role & Responsibilities:
* Full knowledge of the Microsoft suite - Outlook Email, Excel, Word, PowerPoints
* Familiarity with SLACK a plus
* Ability to use zoom digital platform.
* Learning agility to pick up new systems such as the internal expenses and travel platforms.
* Strong Calendar Management essential to organise and schedule meetings and appointments and associated logistics for meetings – zoom F2F, catering, travel, transit.
* Prepare costings for team meetings and personal travel.
* Identifying appropriate travel itineraries and submitting upline approval requests prior to booking travel
* Monitoring all requests for travel are completed correctly and guide them through the approval channels.
* Ensuring pre-briefs, Exec Briefs are in place for all meetings.
* Work with Operations and Finance teams to accommodate pop up meetings.
* Liaise with Marketing to coordinate events and to consolidate nominations, registration, and attendance lists.
* Write business appropriate correspondence whilst liaising with external parties and organising meetings.
* Assist in the preparation of scheduled reports.
* Submit expense reports in accordance with compliance and on time.
* Ability to handle sensitive information in a confidential manner.
* Minute taking where requested.
