Job Overview
The Technical Documentation Specialist is responsible for creating, maintaining and improving the organization's documentation to support operational excellence and compliance.
Key Responsibilities:
1. Documentation Review and Gap Analysis
* Audit existing documentation to identify outdated, incomplete or inconsistent content
* Conduct interviews and workshops with stakeholders to understand undocumented processes
* Develop a documentation improvement plan based on identified gaps
2. Content Creation and Transformation
* Write, edit and format process documentation, policies, procedures and manuals
* Ensure content is clear, concise and tailored to the intended audience
* Apply consistent style, tone and formatting across all documents
3. Stakeholder Engagement
* Collaborate with subject matter experts (SMEs) across departments to gather accurate information
* Facilitate feedback loops to validate and refine documentation
4. Compliance and Quality Assurance
* Ensure documentation aligns with relevant regulations, standards and internal policies
* Implement version control and review cycles to maintain documentation integrity
* Support audit and compliance activities with accurate documentation
5. Process Improvement and Knowledge Management
* Recommend improvements to documentation processes and tools
* Support the implementation of documentation management systems
* Promote a culture of knowledge sharing and continuous improvement
Requirements:
* Minimum 3–5 years of experience in technical writing or documentation management
* Proven ability to write and edit complex content for diverse audiences
* Strong understanding of business processes and documentation standards
* Experience working with cross-functional teams and SMEs
* Excellent written and verbal communication skills
* Proficiency in documentation tools (e.g. Microsoft Word, SharePoint, ClickUp)
* Strong attention to detail and organisational skills
* Experience in regulated industries (e.g. insurance, financial services, healthcare)
* Familiarity with compliance frameworks (e.g. APRA CPS230, GICOP)
* Experience in process mapping and workflow documentation
* Knowledge of content management systems and version control practices
