Executive Support Specialist
The ideal candidate will provide high-level support to the Director of Franchise Operations APAC, ensuring seamless coordination across teams.
Key Responsibilities
1. Support Services:
* Coordinate and manage the Director's calendar, travel, meetings, and communications.
* Prioritize and triage emails and requests to focus on critical matters.
* Prepare reports, presentations, briefing documents, and agendas for internal and external meetings.
* Collaborate with leadership on meeting preparation and follow-up.
* Act as key point of contact for internal and external stakeholders on behalf of the Director.
2. Office Management:
* Coordinate head office operations for Brisbane location, including visitors, deliveries, maintenance, cleaning, building management & security.
* Manage ordering and receipt of supplies for QLD office, including stationery, food & drinks, cleaning supplies, etc.
* Create welcome packs for new hires, manage merchandise and restaurant uniform stock, and oversee office seating plans and building access codes.
3. Team Coordination:
* Coordinate team calendars, meetings, and project management tools.
* Manage Franchise Operations team annual leave calendar and approvals.
* Coordinate end-to-end event management on a national level, including travel and presentation materials.
* Manage budget tracking within the Franchise Operations team.
Requirements
* At least 3-5 years of PA or EA experience.
* Proactive, resourceful, and solutions-focused individual.
* Outstanding organisational skills and attention to detail.
* Ability to handle sensitive information with discretion and maintain confidentiality.
* Strong relationship-building skills with resilience to navigate a fast-moving business.
