The Opportunity

The Receptionist / Business Support role is a key position for the company and supports daily operations and will be responsible for front of house and first point of contact for internal and external stakeholders. The incumbent will have strong multi-tasking skills, excellent presentation and an engaging personality and a willingness to learn. You must be capable of working independently or within a team environment.

Key Accountabilities

* Greet and welcome guests as soon as they arrive at the office
* Screening and transferring calls as required
* Handling queries and complaints via phone, email, and general correspondence
* Diary management and management of meeting rooms
* Handling event/catering requirements, both internally and externally such as monthly BBQs and morning teas
* Managing office supplies including stationery, equipment, and furniture
* Uniform allocations and despatch
* Performing ad-hoc administration duties
* Maintaining office services as required (such as cleaners and maintenance companies)
* Receiving and dispatching deliveries
* Mail and post-office visits
* Taking and ensuring messages are passed to the appropriate staff member on a timely basis
* Arrange travel and accommodations, and prepare vouchers
* Keep updated records of office expenses and costs
* Perform other clerical receptionist duties such as filing, photocopying, scanning and emailing

* Someone who can prioritise and meet deadlines
* Strong time management, task allocations and updating stakeholders
* Support areas of the business during peak workloads
* Ability to be resourceful and proactive when issues arise

Experience

* Completed educational studies- year 12 level or above
* Proven work experience as a Receptionist, Front Office Representative, or similar role
* Proficiency in Microsoft Office Suite
* Hands-on experience with office equipment (e.g. scanners and printers)
* Customer service
