Our Facilities Maintenance team provide planned and responsive maintenance, emergency repairs, disability modification upgrades, vacant restorations, and property surveys, services throughout New South Wales, South Australia and Tasmania.
We are seeking an experienced and reliable Operations Support Officer to join our Facilities Maintenance team, based in our Adelaide Office.
As an Operations Support Officer you are accountable for responding to and coordinating maintenance work orders from start to finish, in accordance with set KPI's.
You will liaise directly with clients, sub-contractors and the operations team to ensure projects are scheduled, allocated and completed in line with agreed timeframes.
This is a fast‐paced role in a dynamic environment, where no two days are the same and provides an essential service to the local community.
Key Duties
* Review work orders and required works for completion.
* Allocate works to sub-contractors.
* Monitor progress of works, liaising with stakeholders as required.
* Keep accurate and up to date records for all work orders.
* Respond to inbound calls and emails.
* Develop solutions to problems and errors as they arise.
* Generate and distribute reports.
* Assess work order claims and approve at completion.
* Escalate compliance concerns to the operations team.
About You
* High‐level customer service skills and previous experience working in an operations support role (experience in the facilities maintenance or building/construction industry will be highly regarded).
* Ability to thrive in a fast‐paced environment, manage multiple competing demands and ensure work orders are completed in line with set timeframes.
* Strong written and verbal communication skills and the people skills required to build positive relationships with stakeholders at all levels.
* Effective collaborator with the operations team, sub‐contractors and clients, whilst being highly autonomous to coordinate all aspects of work orders without direction.
* Previous customer service or administration experience.
* Experience utilising software databases for keeping records and reporting.
* Proficiency with Microsoft Office.
* Training and upskilling provided.
