For more information on Special Measuresplans, go to the OCPE website.Primary objectiveProvide high quality and confidential administrative, reception and secretarial support to the operational offices andleadership group within the Top End Region, Department of Children and Families in the provision of regional corporatesupport services.Key duties and responsibilities1. Arrange, process and acquit official duty travel requirements including booking flights, accommodation and transport forstaff and clients ensuring compliance with legislation and Northern Territory Government (NTG) and departmentalpolicies and procedures.2. Purchase and receive goods and services within procurement guidelines ensuring accurate acquittal and reconciliation ofcorporate credit card.3. Provide administrative support to offices, including reception duties, minute taking and co-ordinating venue bookingsand catering.4. Provide training and support to staff on NTG, Agency and work unit administrative processes and procedures includingtravel, finance and procurement.5. Provide administrative support to other Top End and Arnhem Region Business Units as required.6. Participate in an after-hours roster and assist in delivering the Department’s statutory welfare group responses inaccordance with the Emergency Management Act .Selection criteriaEssential1. Previous practical experience in an administrative support role, incorporating secretarial support, reception duties,financial processes and administering and coordinating staff travel.2. Demonstrated ability to use a range of software packages preferably including complex client databases, word processing,spreadsheets, records and financial management systems.3. Well-developed organisational and time management skills with a proven ability to work in an environment of continuouschange with attributes of flexibility and adaptability.4. Well-developed communication and interpersonal skills to interact professionally with a range of internal and externalstakeholders and members of the public, using diplomacy, discretion, and empathy in dealing with confidential andsensitive information.5. Demonstrated ability to work respectfully and professionally within a culturally diverse workplace servicing a diverseclient base.6. Ability to work independently and as a member of a team, to achieve timely outcomes in a busy work environment whilemaintaining high standards of accuracy and attention to detail.7. Demonstrated ability to work within legislation, policy, procedures and determinations related to employment, recordsmanagement, procurement, and financial management.8. Preparedness to travel in 4WD vehicles or light planes, as required, and ability to undertake travel including overnightstays as necessary.Desirable1. Sound working knowledge of TRM (Territory Records Manager) or other similar electronic record management systems.2.
