The client:Located in Maryborough, our client is a progressive rural healthcare provider in the heart of the Central Goldfields region in Victoria. They provide a wide variety of health services, from acute and urgent care to maternity, oncology and surgical services, as well as allied health, community services and residential aged care. The role:To provide comprehensive secretarial and administrative support to the Chief Executive Officer, and Board of Directors at an established Public Health Service provider in Maryborough.
Responsibilities:
· Provide high-level secretarial and administrative support to the CEO and Board of Management.
· Manage correspondence, filing systems, and document preparation for internal and external distribution.
· Coordinate calendars, meetings, and room bookings for Executive and Board engagements.
· Prepare agendas, attend meetings, record minutes, and follow up on action items.
· Collaborate with executive support staff to ensure effective communication and workflow.
· Organise travel, accommodation, and registration for conferences and forums as directed.
· Support strategic communications and assist with internal and external event planning.
· Maintain professional relationships with staff, stakeholders, and the community to uphold MDHS's image.
· Perform word processing, data entry, and statistical reporting using Microsoft Office tools.
· Facilitate Board remuneration, coordinate committee reviews, liaise with the Department of Health, and assist with the annual report.
Requirements:
· Proven experience streamlining executive operations through expert diary management, agenda planning, and communication control.
· Proficient in using Microsoft Office and hybrid meeting technologies.
· Trusted with sensitive information, demonstrating discretion and confidentiality.
· Skilled at managing competing priorities and meeting deadlines with minimal supervision.
· Strong time management and multitasking abilities across executive-level demands.
· Exceptional written and verbal communication skills.
