The Compliance Officer provides administrative support to the Compliance and Fleet teams to ensure the company meets all legal, safety and operational obligations under the Heavy Vehicle National Law (HVNL), NHVAS/WAHVA standards, Work Health and Safety legislation and internal company policy and procedures.
The role contributes to the efficient running of company compliance, fatigue management and fleet management systems by accurately processing documentation, maintaining records and assisting with coordination of fleet and driver performance.
Duties and Responsibilities: (but not limited to)
* Enter driver work diary pages into the fatigue management system to monitor compliance with legislated work and rest hours.
* Assist with monitoring and verifying compliance with HVNL, WA and other jurisdiction's fatigue requirements and company fatigue procedures.
* Assist with maintaining accurate fatigue records for audits and internal reviews.
* Assist with organising pre-delivery requirements eg fit-outs, ratings letters and registration documentation.
* Coordinate with suppliers, workshop and internal stakeholders to ensure new vehicles are ready for operational use.
* Assist with maintaining company compliance registers (eg licences, inductions, training, medicals, permits).
* Support preparation of audit documentation for NHVAS, WAHVA and internal compliance checks.
* Maintain electronic compliance records and ensure they are up to date and easily retrievable.
* Assist with data entry and follow-up for incident reporting, corrective actions and safety forms.
* Respond to internal and external enquiries in a professional and timely manner.
* Support continuous improvement initiatives within the compliance and fleet teams.
Key Skills & Attributes:
* Strong attention to detail and accuracy in data entry and record-keeping.
* Good understanding of transport industry regulatory requirements (desirable but not essential – training will be provided).
* Ability to prioritise tasks and manage competing deadlines.
* Strong communication skills and ability to liaise with drivers, workshop and suppliers.
* Proficiency in Microsoft Office and experience with fleet or compliance systems (advantageous).
* Ability to maintain confidentiality and handle sensitive information appropriately.
* Proactive, organised and able to work both independently and in a team environment.
