The Commission is the national end-to-end regulator of aged care services and the primary point of contact for consumers and providers in relation to quality and safety. This selection process will be used to fill Executive Assistant roles across the Commission, working to support executives in operational, policy, or enabling functions.
About the Role
Provide comprehensive executive assistance to the Executive Director:
* manage diary, email and travel and accommodation bookings,
* coordinate briefings and prepare meeting papers, presentations and logistical support,
* coordinate with other executive support staff to action related finance, procurement, recruitment, digital and other corporate reporting requirements
* develop a short-term and medium-term view of activities and priorities to support effective task management
Position Duties
Under limited task guidance
* receive, screen, monitor, prioritise, escalate and action Executive Director emails and correspondence, using initiative and discretion
* manage the Executive Director's diary, travel and meeting preparations to meet business priorities and competing deadlines
* develop, maintain and improve systems to ensure effective workflow within the Executive Director office and group including: team meetings, newsletters, intranet / SharePoint pages, room bookings, preparation of presentations, and secretariat support for meetings.
With guidance, conduct research and draft briefings, reports and documents as required.
Work as part of a high performing team to facilitate and support effective communication among Commission executives.
To be successful in this role you will need to demonstrate the following:
* High level organisational and communication skills, including flexibility and problem-solving skills
* Demonstrated ability to set priorities, meet competing deadlines and work effectively under pressure, in a small team environment.
* Highly developed interpersonal skills and the ability to work in productive partnership with executives and their offices to achieve business results.
* Knowledge, or the commitment to quickly acquire knowledge of the role and functions of the Commission to support business priorities.
* Ability and interest in proactively identifying and pursuing opportunities to better support the Executive Director.
* Proficiency with standard Microsoft Office applications and capacity to quickly adapt to new digital tools.
* Experience proving high level support to senior leader in a large, geographically dispersed organisation
Position Notes
* Salary offered will be between $86,204 - $93,226 per annum depending on skills and experience. In addition, 15.4% superannuation will be paid.

* Non-ongoing opportunity will be offered for an irregular/intermittent term. Opportunities will be offered for varying periods up to 12 months with the option to extend to a total of 24 months.
* Merit Pool established through this selection process may be used to fill this or future ongoing or non-ongoing vacancies.
