Job Description
We are seeking an administrative professional to join our team in a full-time capacity. The successful candidate will be responsible for providing exceptional support to the business and external clients, maintaining a high level of professionalism, confidentiality, and discretion at all times.
The role involves providing administrative assistance and support across various areas, including front-of-house reception, answering phones, booking meeting rooms and pool cars, event catering, keeping areas tidy, onboarding new team members, team safety, ordering PPE, stationery, and kitchen needs, regular reporting, and ad-hoc administration tasks.
This is a 5-day per week, in-office role with no work-from-home requirements. The position will involve working across two Brisbane office locations, South Brisbane, and Fortitude Valley.
Key Responsibilities:
* Reception and phone duties
* Provide administrative support to the business
* Coordinate building maintenance and office equipment requirements
* Assist with coordinating office communications, client, and staff events, and meetings
* Order stationery, consumables, kitchen supplies, and maintain sufficient stock levels
* Ensure reception, kitchens, and meeting rooms are kept clean and presentable
* Assist with onboarding and exit checklists to ensure compliance with procedures
* Support the Shared Services Team Lead in HSSE tasks as the Office Safety and Environment Coordinator (OSEC)
* Maintain compliance with quality, safety, and environment policies and processes
Requirements:
* Excellent communication skills
* Demonstrated experience delivering exceptional administration and office management services
* Minimum 2 years of experience in an administration role
* Can-do attitude
* Excellent organization and time management skills
* Intermediate knowledge of Microsoft Office
* Initiative and self-starting abilities
* Strong attention to detail
* Competent decision-making skills
