CPC Engineering has over 50 years experience in the Mining Sector and is 100% Western Australian owned. We are currently seeking a motivated and driven Administration & Accounts Officer to join our Karratha Division in a permanent, full-time capacity.

About the Role

The Administration and Accounts Officer is responsible for managing day-to-day office operations and maintaining the division's financial records. This includes handling correspondence, managing schedules, and processing client invoicing. The goal is to ensure the office runs efficiently while providing clear visibility into the division's monthly financial performance.

Responsibilities

* File into job, purchase order, invoice, statement, credit card, payroll, tenement costing, reversal, HR, posting and report files.
* Make/manage new job files in the divisional SharePoint system, make new files as needed.
* Costing of jobs per department, matching hours on SHD's with recommended invoice, if discrepancy, check timesheets and reverse hours to correct jobs, mark off purchase orders to the recommended invoice, chargeable and non-chargeable items.
* Raise client invoicing on a monthly basis in line with end-of-month deadlines, once checked and ok, post in sales order, add to Work in progress.
* Answer phone, greet people, sorting of In Tray, Open Jobs, Accommodation and flight bookings.
* Raise Requisition, Enter information, and Post Purchase Order, Fax Release Purchase Orders, Purge Purchase Orders.
* Check the invoice and amounts on statements have been entered and match what is entered for the supplier in the corporate accounting system.
* Goods receipt invoices received against the PO issued into our corporate accounting system, check entries for accuracy, to enable accounts payable to action the payment to the supplier.
* Assisting Accounts Receivable with the monitoring and collection of bad debts and overdue invoices from clients.
* Collating man-hours for the month for staff, employee and subcontractor man-hours for the month for Safety advisors.
* Check and enter timesheets to the corporate system, including times, hours, name, and job number on timecards against entries.
* Chasing up any queries a client may have with an invoice.
* Raise a Credit for Invoice, attach the credit to the invoice.
* Post and collect Mail.
* Archiving of closed jobs and files once completed.
* Tidy Kitchen / Close gate at end of day.

Qualifications

* Previous administrative experience in a similar company or organisation.
* Previous bookkeeping and accounts experience in a similar field; qualified (or part-qualified) would be an advantage.
* An expectation of furthering those skills and formalising accounts experience.
* Good computer skills: Word, Excel & PowerPoint to a high level.
* Knowledge of accounts-based software.
* Previous supervisory and staff management experience.

* Bookkeeping and accounts skills (accounts payable, receivable, reconciliation, etc.).
* Good organisational and prioritising skills.
* Ability to handle multiple tasks.
* Excellent communication skills.
* Ability to handle confidential and sensitive data.
* Assertive personality and able to act as a 'gatekeeper' when required.
* Ability to manage own workload and work unsupervised.
