Primary objective
Provide comprehensive, confidential, administrative support to the Executive Director, Regional Services Barkly, including
administrative coordination and Ministerial Liaison support.
Key duties and responsibilities
1. Provide comprehensive administrative support to an executive which may include:
* Managing email inboxes, diaries, meetings and travel arrangements.
* Monitoring all communication channels in and out of the Executive's office, including telephone and email enquiries,
screening calls and delivering messages in a timely manner.
* Maintaining appropriate administrative systems, registers, processes, databases and record management.
* Providing high level secretarial support including minute taking and logistical support to working groups, committees and
events/functions.
* Ensure high quality products and the management of effective and efficient workflows within the unit.
* Managing a range of procurement functions including travel arrangements, purchasing and processing credit card
transactions.
* Supporting working groups, committees and for events/functions the Executive/ work unit are involved with.
* Liaise in a discreet and confidential manner with a wide range of people including but not limited to; all levels of staff within the
agency, the Minister's office, external stakeholders and the general public.
1. Undertake corporate functions required by the Executive Director inclusive of recruitment.
2. Undertake logistics duties in the event of an emergency
Selection criteria
Essential
1. Proven successful experience in providing administrative support to an executive; with a high attention to detail, sound
judgement, the ability to maintain confidentiality and a clear understanding of the need for tact and diplomacy.
2. Prior experience operating in a fast-paced environment with strong organisational and time management skills; with
demonstrated ability to prioritise tasks, work independently with minimal supervision and work under pressure.
3. High level of motivation and ability to monitor and meet changing priorities and deadlines.
1. Proven experience in undertaking corporate functions in Finance, Administration and Recruitment.
2. Sound knowledge in computer systems, records management and major business systems, or the ability to obtain quickly.
3. Well-developed interpersonal, oral and written communication skills, with a demonstrated ability to communicate professionally
and effectively at all levels and with people from diverse backgrounds.
Desirable
1. Experience working in human service delivery Child Protection
