Automotive Service Advisor / Administrator

Full Time – 38 Hour Week
An established automotive workshop in the Mackay region is seeking a Service Advisor / Administrator to support the day-to-day operations of our workshop.
This position supports the daily flow of work through the workshop by managing service bookings, liaising with customers and technicians, and ensuring each job is recorded, costed and invoiced correctly from beginning to completion.
We’re looking for someone who takes pride in doing things properly, communicates well with both customers and staff, and can keep multiple jobs moving while maintaining accuracy across workshop administration and billing processes.
Key Responsibilities
• Managing service bookings and workshop scheduling
• Accurate job tracking from booking through to completion
• Daily invoicing and invoicing at job completion
• Entering and reconciling bills in Xero
• Parts ordering and allocating parts to the correct vehicle and job
• Creating and managing purchase orders for parts
• Time tracking and timesheet uploads for workshop staff
• Communicating job progress with customers and technicians
• General administration and reception duties including phone and email enquiries
About You
• Strong organisation and attention to detail
• Comfortable using Xero or similar systems
• Good communication skills with both customers and workshop staff
• Able to manage multiple jobs in a busy workshop environment
• Current Class C Driver’s Licence
