We are actively seeking a Practice Manager for our growing allied health centre in the heart of Toowoomba.
You'll join a growing team and drive an innovative and vibrant positive workplace. You will be responsible for the management of both the clinical and administrative team members. Reporting directly to the COO, you will be well supported by both business development and planning functions from the Corporate Leadership Team (CLT). Clinicians will have access to direct clinical support from senior colleagues.
As the Practice Manager, you will manage staff and systems, monitor billing and financial processes, and facilitate high levels of billable hours while supporting clinicians to deliver excellence in service delivery. We have recently restructured our admin team to align with our growth and are excited to offer this role with increased responsibility within the clinic.
**Key Responsibilities**
- Management of the front desk team to ensure excellent customer service to all clients support for therapists, and for the day-to-day operations.
- Oversee general reception duties, rostering, training and team development.
- Diary optimisation, and scheduling oversight.
- Streamlining and feedback of processes and procedures to ensure the smooth and efficient running of the clinic
- Managing day to day communications with all staff to ensure optimal customer service.
- Oversight of all intake and administrative processes and systems.
- Effective complaints handling and customer service improvements
- Ordering and inventory management of all consumables, stock, office supplies and equipment
- Reporting as part of, and actively engaging with, the Corporate Leadership Team.
- Alignment of practice with the developing strategic plan and organisational values.
**Desirable Skills**
- Previous experience in office management or administration and looking for your next challenge in managing a practice
- Professional presentation with excellent communication skills and phone manner
- Experience with Office suite and clinical reporting systems e.g. Power Diary
- Ability to manage private and sensitive communication and materials
- Self-motivated with the ability to take ownership over all tasks
- Demonstrated initiative, organisation and time-management
- Friendly, engaging, and positive demeanour
- Open, honest, and approachable
- Previous customer service experience with exceptional people skills

- Permanent part-time position. Ideally 2-3 days per week, days flexible.
