Overview
Jim's Garage Doors is looking for an experienced Scheduler / Operations Coordinator to join our busy Maddington office. This is a fast-paced role at the heart of our business, coordinating service technicians, installers, customers, suppliers, and office administration to ensure jobs run smoothly from booking through to completion. If you enjoy solving problems, juggling multiple priorities, and keeping a busy schedule on track, this could be the perfect role for you. We receive over 150 phone calls and emails each day, so we're looking for someone who thrives in a high-volume environment, can think on their feet, and enjoys being the person who keeps everything moving.
Key Responsibilities
* Schedule and coordinate daily service and installation work across multiple technicians and crews
* Manage incoming customer enquiries via phone, email, website enquiries, and social media
* Liaise with customers regarding bookings, arrival times, service requirements, and job updates
* Monitor technician workloads and adjust schedules to maximise efficiency
* Create and issue quotes, invoices, and customer communications
* Coordinate ordering of doors, parts, and supplier requirements
* Track job progress and proactively follow up on outstanding actions
* Maintain accurate job records, notes, and documentation within Simpro
* Support the leadership team with general administration and reporting
* Work closely with technicians, suppliers, customers, and other office staff to ensure a high level of service delivery
About You
We're looking for someone who:
* Has experience in scheduling, dispatching, logistics coordination, service coordination, or a similar role
* Has worked in plumbing, electrical, HVAC, transport, logistic or service dispatch companies
* Is confident managing multiple priorities simultaneously
* Has excellent customer service and communication skills
* Is comfortable working with phone systems, email, scheduling software, and Microsoft Office
* Has strong organisational skills and exceptional attention to detail
* Enjoys problem-solving and finding solutions when plans change
* Can work independently while also contributing to a supportive team environment
* Experience with Simpro, ServiceM8, Xero, or similar job management software will be highly regarded
