About The Role
Working within the Collaboration division of Orro, this role will be assisting key sales and management staff by progressing internal activities between the finance, procurement and delivery teams. The primary outcome is to speed up the preparation of customer sales quotes and address any discrepancies with orders and invoicing. As Orro is a technology company, it is imperative to have a high-level understanding of the relevant technologies – existing knowledge of audio-visual solutions and telephony (VoIP) will be valuable.
Position Overview
The Administrative and Sales Support Coordinator provides general administrative and sales support to the Director and Executive General Manager of the Collaboration division. This role is essential in assisting with sales operations, procurement support, and maintaining accurate sales data. The successful candidate will play a key role in ensuring the smooth flow of administrative tasks and facilitating efficient communication between various stakeholders and teams within the organisation.
Position Responsibilities
* Prepare quotes and proposals using Microsoft Word templates.
* Assist the pre-sales team in preparing quotes and gathering relevant product information from online sources and AI chatbots.
* Enter and maintain sales data in the CRM system.
* Support the procurement team by handling administrative queries, including customer contact details and resolving quote, PO, and invoice inconsistencies.
* Obtain quotes from third-party contractors as inputs for sales quotes and proposals.
* Facilitate access to existing supplier systems for the procurement and finance teams.
* Manage and request quotes for subscription and maintenance renewals.
* Act as a liaison between Project Managers and the Finance Billing team to collect necessary billing information, such as customer services, start dates, and phone numbers.
Skills, Knowledge And Experience
* Strong initiative and problem-solving skills with a common-sense approach.
* Excellent communication skills in English, both written and verbal.
* Exceptional attention to detail and accuracy in data entry and documentation.
* Highly organised with effective time management skills to handle multiple tasks efficiently.
* Prior experience working with offshore resources in the Philippines (preferred but not essential).
* Basic understanding of computing products, subscription services, and related technical knowledge is imperative.
* Understanding or experience with audio visual (meeting room) and telephony or unified communications solutions will be valuable.
Qualifications
* Relevant experience in administrative support, sales coordination, or a related field.
* Proficiency in Microsoft Office Suite, particularly Word and Excel.
* Familiarity with CRM systems and data management tools is advantageous.
* Experience in procurement support or working with supplier systems is beneficial.
