Landscape Operations & Estimating Coordinator
We are a growing landscaping and landscape construction business delivering residential projects, builder packages, and structural landscape works across Melbourne. As our workload continues to grow, we are looking for a capable, construction-savvy individual to support project coordination, estimating, systems, and general administration.
This role is ideal for someone who understands how landscaping and construction operate in the real world and enjoys building structure within a small business environment.
About the Role
This is a hands-on hybrid role combining estimating, project coordination, systems development, and administration. You will work closely with the business owner and play a key role in helping streamline operations and support future growth.
The position will start part-time (approximately 3 days per week), with a clear pathway to full-time as the business expands.
Key Responsibilities
Interpret landscape and site plans
Complete material take-offs (timber, turf, soil, paving, concrete, etc.)
Prepare estimates and quotations
Maintain pricing templates and margin accuracy
Project & Operations Coordination
Schedule works and coordinate crews
Order materials and manage deliveries
Liaise with suppliers, builders, and clients
Track job progress and variations
Systems & Process Improvement
Develop and refine estimating templates
Create standard scopes of works and checklists
Maintain supplier pricing databases
Assist in documenting and improving internal processes
Administration
Email and phone correspondence
Job documentation and filing
Support invoicing and variations
Update quote and job status records
About You
Experience in landscaping, residential construction, or building
Estimating and/or take-off experience
Strong organisational and communication skills
Comfortable working across admin, estimating, and operations
Commercially minded with good attention to detail
Proactive and able to work independently
Highly Regarded
Experience with Excel, Xero, or estimating software
Previous experience in a small trade or construction business
