Administration and Finance Assistant – Full Time (75 hours per fortnight)

Salary: Open for negotiation based on skill level

Location: Helensvale, QLD (Gold Coast)

About the Role

Process Panda is looking for a motivated and organised team member to join us full-time at our Helensvale office (Monday to Friday, 9:00am to 5:00pm). This dynamic role involves supporting multiple areas of the business, so flexibility and a proactive approach are important. While some days might be busy with a variety of tasks, other days could have you focused on the same project - that's why we're after someone who can approach their work with a positive attitude and someone who genuinely enjoys what they do. Whether you're just starting out or have some experience, this is a great opportunity to take on real responsibility and grow your career in a supportive environment.

Your key responsibilities will include:

Communication

You'll be the first point of contact when answering and directing phone calls and emails.

Administration and Sales Support

Work autonomously on regular admin tasks and provide flexible support to all teams as needed to help keep day-to-day operations running smoothly. Being adaptable and a team player is essential to the role.

Customer Contracts and Invoicing

Create and process contract documentation and Invoices quickly and accurately. Attention to detail is key here

Finance Team Support

Support the finance team with a variety of tasks like tracking employee leave, processing expenses, and allowances.

Travel Bookings

Organise staff travel arrangements, including flights, hotels, and car hire ensuring everything's pre-booked and pre-paid.

Office Supplies and Inventory

Make sure everything's stocked and in order and maintain our asset register.

Marketing and Events Support

Assist with organising marketing campaign print media and SWAG and help to ensure conference and exhibitor task deadlines are met.

Data Entry and Records Management

Maintain accurate records and keep our systems up to date to ensure our income and expenditure is accurate for forecasting purposes.

What Will Help you Succeed in this Role

We're after someone who's naturally organised, takes ownership of their tasks, and enjoys being part of a team. The ideal candidate will have:

* Excellent attention to detail and a high level of accuracy
* Great communication skills – both verbal and written
* A friendly, professional phone manner
* Strong time management and the ability to prioritise and multitask
* A willingness to learn and a can-do attitude
* Intermediate proficiency in Microsoft Office (especially Excel and Word)
* Familiarity with MYOB, QuickBooks or similar accounting software is advantageous
* Previous experience in an admin, finance or hospitality front of house role is desirable
* A business diploma or certification will be well regarded
