Position Overview
We are seeking a friendly, experienced, and motivated Medical or Allied Health Receptionist to join our nurturing practice. This is a casual or contracted, part-time role with a 3-month probation period, involving a minimum of 18 hours per week. Salary negotiations are possible based on experience.
Essential Qualifications and Experience
Excellent client service and telephone manner
Strong verbal and written communication skills
Discretion, confidentiality, and empathy towards clients
Receptionist experience in medical, psychology, or specialist settings
Proficiency with Microsoft Word, Outlook, and Excel
Knowledge of clinic software (Halaxy) or willingness to learn
Highly organized, detail-oriented, and capable of multitasking and problem-solving
Excellent time management skills
Ability to work independently and as part of a team
Reliable, punctual, responsible, and mature attitude
Willingness to perform light cleaning duties as needed
Desirable Qualifications and Experience
Certificate II or III in Business Administration
Knowledge of NDIS, Medicare, DVA billing procedures
Current Police Check and WWCC (required upon employment)
Key Responsibilities
Answering phones and emails; assisting clients with queries; greeting clients professionally
Following up on inquiries and correspondence
Managing appointments and clinician diaries
Handling billing and payments for NDIS, Medicare, Private, and DVA services
Assisting with accounts receivable and payable
Performing reconciliations and maintaining office records
Creating and managing client documentation and service agreements
Supporting day-to-day operations and general administration duties
Maintaining reception and office areas
